Coldwell Banker Deep Creek Realty is located in the McHenry Plaza on Garrett Highway (U.S. Route 219).

Office Hours
Our office hours are 8:30 a.m. to 6 p.m. daily.  Our office is closed on Easter, Thanksgiving, Christmas, and New Year's Day.

When searching for homes our web site check out our virtual tour feature.  Look for homes that have a virtual tour icon, and click on individual room names for your own personal tour.

Rental Periods
Most July and August rentals are full weeks only, running from Saturday to Saturday, or Sunday to Sunday.  However, some properties are available for shorter periods, so call with your request.  During the rest of the year, the minimum rental period is two nights, or three nights during holiday weekends.

Mid-Week Specials
Except for July and August, many of our properties offer mid-week, discounted rates which are great for that quick getaway or last minute reservation.  Speak with one of our Vacation Specialists, or search our website for rates and availability.                               

Seasonal Rentals
We also offer seasonal rentals for the summer and ski seasons.  Please call our office for details. 

Security Deposit Waiver Program
Our vacation rentals include the Security Deposit Waiver Program, at no additional cost. This program offers relief to you, the guest, in lieu of the traditional security deposit. The Security Deposit Waiver Program affords $3,000 of coverage for theft or accidental damage done to the property or its contents during your stay. You do not pay a separate fee for this – it is included with all of our vacation rentals (for stays of 30 days or less)! See the Description of Coverage for details.

Payment
One-third of your total rental amount, plus a non-refundable $80 processing fee, is due as a deposit within 10 days from the date you make your reservation.  If we do not receive your deposit within the 10 day period, we will cancel your reservation.  Final payment is due 30 days prior to your arrival.  Please mark your calendar, as we do not send out a billing for the final balance.  We accept personal checks, money orders, cashiers checks as well as VISA or MasterCard.  All vacation rentals are subject to 10% tax (5% Maryland Sales Tax and 5% County Accommodations Tax).  Please note that there is a $30.00 NSF fee for any items returned by the bank.                                                                                      

If your reservation is made within 30 days of your arrival date, the rent, fees, and taxes must be paid in full by a credit card at the time the reservation is made.  We accept VISA or MasterCard.   

Check-In and Check-Out Procedures
Check-in time is 4:00 p.m. and check-out time is 11:00 a.m.  These times are strictly adhered to during the Early Summer, Summer, and Late Summer seasons as we need this time to have the homes professionally cleaned and prepared for your arrival. For your own safety and security, please do not attempt to enter the home or use hot tubs until you have checked-in and received the keys from our office.  We also suggest waiting until you have checked in before purchasing groceries as we cannot allow you to enter the homes early nor do we provide refrigeration facilities.  In rare circumstances, it may be necessary to delay occupancy beyond 4:00 p.m. to ensure your home is ready. 

In other seasons, early arrivals or late departures may be arranged (if rental and cleaning schedules permit).  Call our Vacation Specialists one day prior to your check-in for availability.

Upon checking in, you will be given two sets of keys (and a hot tub key if applicable).  Please be sure to return all keys to our office upon check-out or a $25 fee will be assessed for each missing key.

If you are leaving before the rental office opens at 8:30 a.m., you may leave your keys in the locked box in the built-in cabinet to the left of our entrance door. 

Maximum Occupancy Limits
Occupancy limits are listed for each property.  These limits must be adhered to strictly.  You must be 21 years of age or older to sign a rental agreement or pick up a key for a property.  Violation of these limits shall be grounds for eviction without refund. 

Pets and Pet Fees
Pets are not allowed at rental units unless indicated in the property description.  You may search our website for properties which allow pets. Properties which allow pets charge an additional fee based on the number of pets and the length of stay.  Ask for details. Finding pets on the premises of non-pet units will be grounds for immediate eviction without refund.

Linens and Premium Service
It's your choice! Full linen sets, including sheets, bath, and kitchen towels, are available as an option for each property.  Linens will be delivered to your rental.  Costs vary by size of house, but the typical costs are between $63 and $300.   If you wish beds to be fully made upon your arrival, you may request our Premium Service for an additional $50.

Housekeeping
Every property is privately owned and furnishings reflect the owner's personal tastes and requirements.  All homes are equipped with basic housekeeping items, including pillows, blankets, coffeemaker, pots, pans, flatware, and dishes.  Special items, such as small appliances, radios, stereos, etc., may or may not be available.  

What to Bring
Please bring your own paper products, soap, plastic wrap, garbage bags, charcoal for outdoor grilling, etc. as these items are not supplied.  Winter guests renting homes with wood burning fireplaces should bring fire starters or kindling.   

Telephone and Television
All long distance or toll calls must be charged to a calling card or credit card.  Calls appearing on a telephone bill during your vacation period will be referred to you for payment with a $10 service fee.  When placing local calls, you need to dial the area code (301) before the number.  There is no charge for local calls.  Due to our mountainous and rural location, TV reception is very limited.  Some properties provide cable access or satellite hook-up.  When a television is provided in a unit, it is by courtesy of the owner.  Repairs and replacement cannot be guaranteed, and refunds will not be given. 

Internet Connection
Some of our properties provide an internet service subscription.  Otherwise, you may purchase a short-term internet service subscription from a local service provider at our rental office.  Please check with one of our Vacation Specialists for details on this service.  You may want to check with your own internet service provider to see if they offer a local dial-up number in Garrett County.

Care of Rental Properties
We make every effort to have your property clean and all equipment in working order upon your arrival.  If you experience any malfunctioning equipment, plumbing or electrical problems, please notify our office immediately so that we can make arrangements for repair.  Please understand that repairs and replacements cannot be guaranteed, and refunds cannot be made due to mechanical failure or inclement weather.   

Please note that you are financially responsible for damage to accommodations during your occupancy. Our Security Deposit Waiver Program protects you for up to $3,000 of accidental damage, but dos not cover intentional acts or gross negligence. See the Description of Coverage for details.

Cancellations and Reservation Changes
If you find it necessary to cancel a reservation, please contact us as soon as possible.  If we are able to re-rent your unit for the time period that you had reserved (at no loss to the owner), we can refund any payment you have made, less a cancellation fee of $75.  If the unit is not re-rented, the one-third deposit is forfeited.  If you need to change the dates of an existing reservation, you may do so until 30 days prior to your arrival.  This change will incur an additional processing fee ($40) and appropriate seasonal rates will apply.   Please note if you request a move from one property to another, this is considered a cancellation. 

Trip Cancellation Insurance
Cancellation insurance can protect you and your family from expenses you may incur due to illness, injuries, weather, and other unforseen cimcumstances. For your convenience and protection we can add the cost of a travel protection plan covering the amount of your rent. For detailed information regarding coverage, please call CSA Travel Protection at 866-999-4018 (group plan code CSA320) or see www.vacationrentalinsurance.com. This plan is available to residents of the U.S., Canada, and the United Kingdom only.

Construction
Deep Creek Lake is a growing resort community and construction is evident in many areas.  If you rent a vacation property near construction, please understand the possibility of additional noise and other factors.  Please realize that this situation is beyond our control.  Sorry, no refunds or moves will be made. 

Rental Homes for Sale
In the event that the property you are renting is on the market for sale, we may find the need to show the property during your visit.  We will make every effort to schedule the showing at a convenient time so as to not interrupt your vacation.  If a unit that is for sale sells prior to your stay, and will no longer be rented, you will be notified immediately.  At that time you will have the option of reserving another property or receiving a full refund.

Every effort has been made to ensure that information in this brochure is accurate and complete; however we cannot be held responsible for errors, or changes made by owners in the individual unit's  furnishings or equipment.  Prices and availability are subject to change.

Agency Relationship
Coldwell Banker Deep Creek Realty has an agency relationship with Owners of properties.
